Team Workflows and Collaboration

Lesson 2: Approval and Feedback Workflows

Lesson Objectives

By the end of this lesson, students should be able to:

  • Design a practical approval gate for video production
  • Give specific, actionable feedback that reduces revision cycles
  • Manage revision tracking across multiple contributors
  • Calibrate approval standards to content type and audience risk

Lesson Content

Designing approval gates.

An approval gate defines: who approves (one person, not a group that needs consensus for every decision), what they are approving against (the brand checklist, quality standards), what they will do with findings (approve as-is, return with specific issues, approve with minor notes), and what response time is expected. Group approval processes without clear ownership tend to produce delayed or diluted feedback.

Giving specific, actionable feedback.

Feedback that reduces revision cycles is specific: "avatar voice too fast in scene 3, reduce speed by 10-15%" versus "something feels off about the delivery." Vague feedback generates questions and round-trips; specific, actionable feedback is something the producer can act on directly. Where possible, reference the brand standards document – "this color doesn't match the brand blue (#2B4DA8)" gives the producer something concrete to correct.

Revision tracking.

For videos requiring multiple revision cycles, maintain a revision log (attached to the project note or brief) – documenting what was found in each review, what was changed, and who signed off on each round. This prevents the same issues being re-raised in later rounds and creates a clear record if the same issue recurs in future similar projects.

Calibrating approval standards by risk.

Not all content types need the same rigor: externally published customer-facing content has a higher approval bar than internal team announcements. Calibrating approval standards to the audience and risk level keeps the approval process proportionate rather than applying the same intensive review to every video regardless of consequence.
